Flow Chart of Foreign Trade Export for Container Houses
The core process of foreign trade export for container houses is divided into five stages: preliminary preparation, contract production, export container loading and customs declaration, transportation insurance and foreign exchange collection, and follow-up. Each stage requires strict control over details to ensure compliance and efficiency.

I. Preliminary Preparation Stage
- Market Research and Customer Development: Research target market regulations (such as EU CE certification and US UL standards), demand scale, and competitive landscape. Develop customers through industry exhibitions, B2B platforms (such as Alibaba.com), or social media.
- Trade Term Negotiation: Confirm prices (including freight and insurance), delivery dates, packaging requirements (moisture-proof/rust-proof treatment), and container types (20GP with a capacity of approximately 28m³ and 40HQ with a capacity of approximately 68m³) with customers. Provide a Proforma Invoice within 24 hours to lock in the quotation and avoid exchange rate fluctuation risks.
II. Contract Signing and Production Stage
- Contract Signing: After the customer confirms the Purchase Order, generate an export contract review form, clarify cost-sharing (such as the customer bearing sea freight under FOB terms), and the party responsible for exchange rate risks. The contract takes effect after being signed by the finance, legal, and business departments at three levels.
- Production and Quality Inspection:
- The factory purchases raw materials according to the schedule (material certificates are required). Changes in design or materials during production are costly, so written confirmation from the customer is required in advance.
- For the inspection process, schedule an on-site inspection by the customer or a third-party agency (such as SGS). Obtain an 'Export Pass' (i.e., an inspection compliance report) upon passing.
- Prepare export contracts, commercial invoices, and packing lists (the content of the three sets of documents must be consistent). If the product is on the commodity inspection list (such as steel structure houses), apply for a certificate replacement voucher from the commodity inspection bureau 7 days in advance.
III. Export Container Loading and Customs Declaration Stage
- Container Loading Process:
- Container Number Photography: Verify the packing list and truck driver's information, and confirm that the empty container is undamaged (such as no dents on the container body or malfunctioning door locks).
- Container Loading Monitoring: Take photos of the half-loaded container (to confirm the cargo placement method) and the fully loaded container (to verify the quantity against the packing list) in stages. After closing the container doors, take photos of the left door, both side doors, and the seal lock (the seal number must be consistent with the customs declaration documents).
- Document Organization: Send the container loading diagram, photos, and packing list to the customs broker and the customer via email.
- Customs Declaration and Transportation:
- Customs Declaration Documents: Submit contracts, invoices, packing lists, customs declaration forms, verification forms, etc. Allow 48 hours for the customs broker to review the documents to avoid 'missing the port' (i.e., the cargo not being loaded onto the ship on time).
- Transportation Arrangement: Under FOB terms, the customer designates a freight forwarder. Under CNF/CIF terms, book the shipping space yourself. For bulk cargo, confirm the customs cut-off time 3 days in advance.
- Seal Management: After the factory loads the container, apply a seal and send back the seal number. The trucking company faxes the container loading information (container number, license plate number, driver's information) to the customs broker.
IV. Transportation Insurance and Foreign Exchange Collection Stage
- Transportation and Insurance: Choose sea freight (low cost) or air freight (fast delivery) based on the cargo value. Insure the cargo against all risks (All Risks) or with particular average (WPA) to cover damage or loss during transportation.
- Foreign Exchange Collection and Verification:
- Within 48 hours after the ship departs, provide supplementary information to the shipping company (such as cargo weight and volume). After verifying the bill of lading sample, confirm telex release (Telex Release) or the original bill of lading (Original B/L).
- Collect foreign exchange and settle accounts according to the payment method (L/C requires strict compliance with document terms, and T/T requires confirmation of receipt). Handle foreign exchange verification (providing customs declaration forms and verification forms) and export tax rebates (providing value-added tax invoices).
V. Follow-up
Collect customer feedback (such as installation issues and usage experience), provide after-sales services (such as spare parts replacement and technical guidance), and maintain long-term cooperative relationships through regular follow-ups.
Process Optimization Technologies:
- Digital platforms (such as the China Electronic Port) integrate customs declaration and logistics data, and blockchain technology verifies the authenticity of certificates of origin.
- Intelligent customs declaration systems automatically match HS codes, RPA robots handle documents, and AI algorithms optimize transportation routes (such as selecting the lowest-cost shipping routes).
